In plain language
What it actually is
It is a phone answerer that never sleeps. When someone calls your business, it picks up on the first ring — at 7pm on a Sunday, during a heatwave when six people are calling at once, or while your team is on a roof.
It talks like a receptionist, not a phone tree. No menus, no 'press one'. It asks what is wrong, where they are, whether it is urgent, and what they want done — then it books the appointment into your real calendar and writes the whole conversation into your CRM before the caller has hung up.
Anything it should not handle — an existing customer with a warranty dispute, a commercial quote, a genuine emergency — gets warm-transferred to a human with a spoken summary of what the caller already said, so nobody has to repeat themselves.
How it works
From missed call to booked job — automatically.
Every call your HVAC or home service business gets is answered, qualified and scheduled into the tools you already use — so you capture every opportunity without hiring more staff.
The live workflow
Eight steps. Zero missed leads.
Customer calls
A homeowner dials your business after hours or mid-job.

Voxelyn AI picks up in seconds — no voicemail, no hold.

Name, service needed, preferred time and urgency.
Checks availability
Reads your live calendar for open service windows.

Locks in the job automatically — zero staff effort.

Caller gets an instant SMS and email confirmation.

You get the lead
Your team is notified instantly with full context.
Who it's for
Built for these situations
You miss calls after hours
Roughly a third of high-intent service calls land outside 9-to-5. If voicemail catches them, the next contractor on Google gets the job.
Your phone spikes unpredictably
First freeze, first heatwave, first storm. Volume triples and one receptionist cannot hold the line. The AI takes unlimited simultaneous calls.
Booking is the sale
Intake, qualification and scheduling — not a forty-minute consultative pitch. If the first call is the close, this is the wrong tool and we will tell you.
What's included
Everything in the deployment
24/7 first-ring answering
Every call, every hour, unlimited concurrency. No hold music, no voicemail, no queue.
Custom qualification script
Trained on your services, service area, pricing guardrails and the objections your team actually hears.
Real calendar booking
Live availability in Google Calendar, Outlook or your GoHighLevel calendar. Confirmations and reminders sent automatically.
Warm human transfer
You define the rules — emergency, deal size, existing customer, keyword — and those calls route to the right person with context.
CRM write-back
Contact created, pipeline stage set, transcript and recording attached. Nothing lives only in someone's head.
English and Spanish
Switches mid-call when the caller does. Other languages on request.
Your existing number
Conditional forwarding so the AI answers only when your line is busy, unanswered, or out of hours — or route everything to it.
Transcripts and QA review
Full transcripts, recordings where legal, and a monthly tuning pass on the calls it handled badly.
The process
From call to live in a week
- 1Discovery callThirty minutes. Your services, your service area, your pricing rules, what a good lead looks like and what should always reach a human.
- 2Script and voice buildWe write the conversation, pick the voice, set the guardrails, and record the edge cases — after-hours, emergencies, price shoppers, wrong numbers.
- 3IntegrationsTelephony provisioned, calendar connected, CRM mapped, transfer rules configured, recording set per your state's consent law.
- 4You review, we tuneYou listen to test calls and mark anything that sounds off. We fix it before a real customer hears it.
- 5Go live and monitorLive in five to seven business days. First two weeks we review transcripts daily and tighten the script around real callers.
Real results
Anonymized outcomes from founding operators
Names withheld while under NDA. Metrics are the operator's own reported numbers from their first 30 days on Voxelyn AI.
"We stopped losing burst-pipe calls to competitors. The agent qualifies urgency and slots them into our on-call rotation."
"Front desk stopped drowning in call volume. New patients now get through on the first ring instead of hitting hold music."
Metrics are self-reported by operators. Individual results vary; not a guarantee of future performance.
FAQ
Voice receptionist questions
Will callers know it is AI?
Some will, most do not ask. It does not pretend to be a specific human and it will say it is Voxelyn AI's assistant if asked directly. For intake, qualification and booking, callers consistently treat it as a normal receptionist conversation.
What happens if it cannot answer something?
It says so, captures the detail, and either transfers to a human immediately or books a callback with full context attached. It does not invent answers. Every gap gets reviewed and added to the script, so the list of things it cannot handle keeps shrinking.
Can it handle several calls at once?
Yes — unlimited simultaneous calls. That is the main structural advantage over a human receptionist or a small answering-service team during a storm or a heatwave.
Do I keep my phone number?
Yes. You keep your number and we set conditional forwarding, so the AI answers only when your line is busy, unanswered, or outside your hours. Or you can route every call to it.
Are calls recorded, and is that legal?
Recording is optional and configured per state. In two-party consent states the agent gives the required notice at the start of the call. If you would rather not record, we run transcript-only.
How does it connect to my CRM and funnels?
Natively into GoHighLevel — contact record, pipeline stage, workflow trigger — and through APIs or a workflow connector for ServiceTitan, Jobber and Housecall Pro. If we also build your GHL growth system, the call and the funnel lead land in the same pipeline.
Is this a replacement for an answering service?
For inbound intake and booking, yes, and usually at a fraction of the per-minute cost with no shift gaps or training cycles. For complex clinical triage or consultative sales calls, no — and we will say so during discovery rather than after you have paid.
What does it cost?
Plans start at $497 a month for the receptionist alone, with a one-time build fee. Multi-location and multi-service operators are scoped individually. Full detail is on the pricing section.
